FormReader reads data from regular paper forms – like the ones you ask your clients or business partners to fill in. When you get a pile of filled-in forms you scan them to a file using your printer and then tell FormReader where those scan files are stored.

The first time FormReader sees a new type of form you will need to specify the fields you want it to read but this is an easy process and won’t take long. After you’ve run your forms through FormReader you can download the data it has read or just paste it into Excel. There are also other options for merging your form data into a database – including fully automating the process.

FormReader is a Cloud based application so you don’t need to install it – just go to FormReader.app in your browser, sign-up for an account and start using it. There is a free tier that is big enough for small offices to use without paying.

Once you’re in the app you can invite your colleagues to log in so they can automate the loading of their forms as well – and, because it’s a cloud app – it doesn’t matter if they’re in another office.

How Do I Get My Data Out?

Extracting Data

he easiest way to extract your data from FormReader is using regular clipboard cut and paste. Just go to the Form’s download menu option, select the batches you want to copy into your clipboard and press copy. After that you can paste the data directly into a spreadsheet or compatible database.

You can also download a CSV or JSON file of your data or automatically send a CSV or JSON file to a landing area for your corporate systems to pick up and load. If you choose this last option we can help with example projects that read the JSON files into various types of database.

Deleting Data

We are committed to your privacy and protecting your ownership of the data you load into FormReader. When you delete your forms from FormReader – they are deleted permanently. We don’t keep a copy except in our system backups but those are locked away and can only be retrieved with CEO level . Our CEO commits to never opening backups of the Production system except in the most unlikely event of a system disaster or court order. With that in mind – when you want your data out of FormReader – you can be assured it is out.

Who should Use Fimple

FormReader is suitable for government and big business but sole traders and teachers also find it just as useful. Big organizations can add multiple users with different levels of authority and with a separation between business units while smaller users can ignore all that and just use FormReader – until they get big. Here are a few situations where FormReader is useful.

Hotels in a particular jurisdiction are required to keep details about the guests who stay with them for two years. At this hotel they find it easier to use a paper form so they can give it to the guest and ask them to complete and physically sign it. When the guest returns the form to the clerk they put the form into a pile for later entry into the computer system. They like to have in a computer system so that it can be shared with head office staff and searched. To save time on data entry they now get FormReader to perform the data entry function. As they don’t need this data loaded into their other systems (booking is managed separately) they just leave the information in FormReader and use FormReader’s search capabilities to find guest stays as needed. They are required to destroy these records after two years so have set the FormReader form up to automatically delete records after that time.
